What the public OnBoardHost site collects and why.
Information you send us
If you use the contact or guided Get Started forms, we receive the information you enter, such as your name, email address, organization, current website/host, workload answers, and your description of the project or problem. The forms also record basic technical information such as the submitting IP address for abuse and troubleshooting purposes.
Accounts, customer records, and support
If you create an account, we store the identity information needed to authenticate you and associate you with one or more customer records. Passwords are stored as one-way password hashes, not readable passwords. Contact and Get Started submissions may become support tickets containing the information you submitted, later replies, ticket status/history, and operational metadata needed to manage the conversation. Customer records may also contain offers/orders, service state, invoice and payment-reference records, account invitations, and staff notes needed to operate the relationship.
Operational logs
Like most web servers, our infrastructure may record request logs containing information such as IP address, requested URL, timestamp, user agent, response status, and related technical data. These logs are used for security, reliability, diagnostics, and abuse prevention.
Spam and abuse prevention
Public contact and qualification forms use rate limits, form-integrity signals, and automated abuse scoring. The abuse ledger may retain hashes derived from sender email, IP address, and submitted content along with the resulting score/reasons. Suspected spam may be quarantined for staff review instead of immediately generating email.
Analytics
We use Matomo analytics to understand how people find and move through OnBoardHost, which service pages they use, and whether important calls to action are working. Matomo may use first-party cookies under the OnBoardHost domain and records normal analytics information such as page views, referrers, browser/device information, and deliberately defined interaction events. We do not send contact/qualification form field contents, passwords, payment details, or hosting credentials into analytics.
Payments and client services
Payment may be completed through an approved third-party payment provider or another agreed payment method. OnBoardHost stores the business record needed to show invoice status, amount, provider/reference information, billing period, and service state, but does not collect raw payment-card numbers through the OnBoardHost account portal. When PayPal invoicing is used, invoice/contact details needed to create and reconcile that invoice are sent to PayPal and PayPal sends payment/status events back to OnBoardHost. External payment links take you to the named payment provider.
Onboarding information
Customer service onboarding may store non-secret operational details such as domain names, registrar/provider names, migration timing, and service notes. The onboarding checklist is not a password or secret vault; do not submit passwords, API keys, private keys, recovery codes, or payment-card data there.
Sharing
We do not sell information submitted through our contact or qualification forms. Information may be shared with service providers when necessary to operate the service, or when required by law.
